Many viruses, spyware, and other malware programs get installed because users mistakenly respond to cleverly designed but bogus security warnings. Recognizing (and ignoring) the fake messages is at least as important as keeping your virus software up to date.

Keep these tips in mind:

Microsoft Windows does not do its own virus checking. If you receive any message stating ‘Windows has detected a virus’ – it’s not legitimate. Windows will display security warnings if virus software is not detected or appears to be outdated, but does no file scanning on its own.

Legitimate anti-virus programs don’t just show up on your desktop. If you didn’t install it, it doesn’t belong on your computer, and any security warning it displays isn’t real.

You can usually tell a book by its cover – Impressive names like ‘Antivirus 2010′ or ‘Spyware Police’ are often a sign that the program itself is not legitimate.

Legitimate anti-virus programs – McAfee, Norton or Symantec, Trend, Kaspersky, etc. – will never prompt you to download anything in order to remove a specific threat. These programs are designed to detect malware and remove it without user intervention. Virus messages displayed by these programs are informational only (they may display messages reminding you that definition files need to be updated or that a new version is available, but never in response to a specific infected file). A particularly nasty infection can evade removal by the virus software, but the legitimate programs will not ask for your intervention.

Legitimate anti-virus programs detect viruses one at a time, in real time. A program that pops up a window indicating it is ‘scanning’, then displays hundreds of infected files in multiple folders is not legitimate.

Legitimate anti-virus programs don’t waste resources on colorful display boxes. When real virus software detects a threat, the informational messages displayed are usually simple text boxes. Fake security messages tend to appear in multiple color windows with fetching graphics in order to appear legitimate. Use this rule – the more attractive the pop up, the less likely it is legitimate.

Feel like this?

1. Clean, organize and purge your desk. Update your files and replace all torn files. Buy new files, in different colors, and organize them by color: green for financial papers, purple for clients and so on. Be sure to label all the files, and then organize them alphabetically within each color scheme. And never, ever put the word “Misc” on any file—once you file it, you’ll forget what you put in it. If you can say out loud what the file is, you have your label.
2. Be like Santa every day of the week. Make a list and check it twice. There’s nothing more satisfying than checking things off your “to do” list! Make a list every night of all the things you need to accomplish the next day. Do this every night, including the weekends, so you get in the habit of relying on your to-do list to help you get things done.
3. Use only one calendar. Choose the one that works best for you: one on your computer, a handheld one like a PDA, or a paper one on your desk. Then get rid of all your other calendars and use just the one to record and keep track of everything. If you’re maintaining more than one person’s schedule, like your children’s, use different colored inks to record information for each family member.
4. Make a note on your calendar, one week ahead of any event, about what you need to do for that event. Do you need to buy wine to bring to a housewarming party? Do you need to send flowers for your mother’s birthday? Whatever it is, make a note of it in advance so you can stay of top of your tasks.
5. Make a list of your goals. Write down at least 10 goals you want to accomplish in your lifetime. Be specific. Then put the list away and update it again next year.

Online search has gone mainstream when it comes to searching for local businesses. Google states that 73% of searches are done for local content. Another study by BIA/Kelsey and Constat report that 97% of consumers use online resources when doing research for products/services in their local area. See www.kelseygroup.com/press/pr100310.asp.
Google has always understood the power of local search, and years ago launched its Local Business Center where any business can get a listing for free. Recently, they’ve done a major overhaul and have re-launched with a new name of “Google Places”, showcasing a host of new features. The name change was done to tie in with Google’s Place Pages which were launched over a year ago and include over 50 million places worldwide. Official Google Blog
If you want customers to be able to find you, and haven’t listed your offline store here yet, you need to get with the program. You are missing out on the chance to reach millions of Google users, including Google Map users, Google’s 800 Voice Directory Search and even Google Earth. And all of this exposure won’t cost you a dime. It’s totally free.

Now that I have your attention, let’s go over the steps for inclusion. As with all things Google, you’ll need to sign into Google Places with your Google Account. Up to 100 single locations can be added but, if you have more than ten to list you’ll need to use their “Bulk Upload Tool”.
There is a verification process that must be done to prove you’re the owner of the business being listed. The choice is yours, it’s by phone or mail. Once this is done, your listing goes live.
Now in case you’re thinking all that’s included in a listing is an address and phone number, hold onto your hat. Here are some of the listing options.

1) Show the geographic area you service.
2) Photos: Upload yours, up to ten images per listing, in JPG, GIF, PNG, TIFF, BMP. A professional photo shoot can also be requested for your business.
3) Place Page Posts: You can post real time updates here, up to 160 characters, announcing special sales, events, and new products. One post appears at a time.
4) Custom QR Codes: For use with smart phones to take users to your mobile website.
5) Advertise: They do have a “Tags Program” in select cities for $25.00 a month where your business will be highlighted on Google.com and Google Maps.
6) List your operating hours. Biz description and even reviews.
7) Post Videos: Up to five videos can be posted, but you’ll need to publish them to YouTube first, then include the URL’s on your Place Page.
Payment Types Taken
9) Coupons: Create online coupons to give people incentive to visit your site. There’s a separate “coupon tab” that appears on your listing page.
10) Privacy: If you work at home and have no storefront you can choose to make your address private in your listing.

At this point you should be realizing how important being listed in Google Places is to your business. If you’d like to see what your listing looks like to a searcher, log into Google Places and click on “see your listing on Google Maps”.

Now remember, search results are based on relevance and “geographic distance”, so you can’t buy your way to the top of the list as with pay-per-click advertising. As previously mentioned, the “tags program”, if available in your area, can be utilized for having your business show up highlighted for $25.00 a month.

If you’re interested in paying for your links to show up on the Google Maps search results page, if related to the search terms and location searched, that can be done using Google’s Adwords program with what’s called “Local Targeted Ads”.

By the way, Google also includes a “Reporting Dashboard” that will tell you how people find you, and what keywords they used to search. It’s powerful stuff that can also be used in your local search engine optimization work.

Do yourself a favor – if you’re not listed with “Google Places”, now is a good time. It’s targeted, free traffic. Now where else can you say that when it comes to marketing on the Internet. People are looking for your business online and with Google Places you can make it easier for them to find you. Website or not – it simply doesn’t matter – but getting people in the door does, and Google is there to help.

Many new business owners and some who are not-so-new are attracted to the idea of using independent contractors instead of employees. There are a lot of people in my profession for example who tout themselves as independent contractors.

Advantages of independent contractors There are advantages to using independent contractors such as the employer saves on FICA, Unemployment, and other taxes. They are also not obligated to pay workers compensation and other insurance benefits. They are not subject to FMLA or other employment related legislation.

Disadvantages of independent contractors. The main disadvantage to using independents is that you must keep on top of exactly what qualifies someone as an independent contractor. If you misclassify someone as an independent contractor who isn’t, the penalties can be extremely costly.

Not only that, but there are two different sets of “tests” for independent contractors — one under the Fair Labor Standards Act (FLSA) and a 20-point test administered by the IRS. While the tests differ, they both focus on how much control the employer has over the employee’s work. See also the official site: Department of Labor – FLSA compliance
One safe way to assure that you are not penalized for misuse of an employee as a contractor, is to use someone who has formed a corporation.

If you find yourself doing more face-to-face networking like many of us, you need a good elevator pitch. In other words 30-60 seconds to showcase what you have to offer. Here are top 5 tips for an elevator pitch that gets results – from a recent Forbes Magazine article:

1. It’s not about you. It’s about the audience. Your pitch should address what is in it for them!
2. One size does not fit all. Each audience has different needs. Your pitch should address those needs.
3. Leave out the fluff. It should be short, sweet and to the point.
4. Tell them what makes you better than the rest. It is OK to toot your own horn! This is your opportunity to explain why you beat the competition.
5. Practice makes perfect. Your elevator pitch should not sound like it came from a can. Practice doing it in a conversational tone.

I love when a potential client comes to me and says: “I have a project I would like to have your help on.” Then they clearly spell out the parameters and we go on from there.

That’s an ideal client. There are many more times however that I hear from someone who learns about what I do from a friend or colleague. First thing they think is WOW! I really could use some help with my home based or small business! Then they call me all excited. I ask them what they need. They ask me what I do.

That’s when I am faced with a typical dilemma. I could spend an hour or two educating them about the possibilities. Usually those conversations end in confusion and “maybe’s”

It also sounds like I am “selling” them… which is not the preferred method.

Therefore, I often ask, “what causes you to lie awake nights?” or “What are your pain points in your business?” Sometimes there is an awkward silence on the phone or if present they look at me like I have two heads! So I suggest to them that they go back to the drawing board and figure out what they really need and come back to me.

If you are thinking about getting some help for your business here is a guide to help you figure out what to delegate.

List the tasks you do that do not increase your income.

List the tasks you absolutely dislike doing.

List the tasks you don’t know how to do at all.

List the tasks you don’t do very well.

List tasks you know you need to do but haven’t even begun yet.

Are there tasks on your to-do list that never get done?

List the tasks you do on weekends when you could be with your family.

Take a few days or a week to write down everything you do in a day.

The last one is the hardest. Most people who run their own show just seem to go from one thing to another and multitask so much that the day ends without them knowing how they really spent their time.

Dieticians and doctors will often tell an overweight patient to list everything they eat for a week. It’s kind of the same thing. You don’t know where your problems are or how big they are until you go through an exercise like this. You may think you are eating a simple turkey sandwich but when you add in the mayonnaise, cheese, the white hoagie roll and/or butter, you really don’t know that sandwich has 700-900 calories in it. The principle here is the same.

If you have trouble figuring out what tasks you can get help with, follow the advice here and see if it works.

I also offer 1 hour free consultations for potential clients. If interested, you can also visit my website and complete the Request for Consultation form and receive 2 hours free for every 10 prepaid hours. www.apvirtual.com

Are you a small business owner who believes social media can’t help you grow your business? Do you wonder if social media just the latest craze in the marketing world? Or will your business actually suffer if you don’t embrace it? To determine current trends, let’s look back to the past a bit.

The “baby boomer” generation is famous for coining the phrase, “It’s not what you know, it’s who you know.” When there are several equally qualified people for one job opening, your network is invaluable. This concept holds true — not just for people on an individual level, but for business-to-business networking.

Historically, how did one grow their network of people and increase their marketing reach? We have gone from a water cooler, country club, and neighborhood society to a global marketplace. It is no longer feasible to rely solely on historical marketing concepts. Word of mouth is the primary factor behind 20 to 50 percent of all purchasing decisions. This word-of-mouth marketing momentum directly correlates to the rise of social networking sites and how people make decisions on what to buy with whom to do business.

Let me explain how spending just 10 minutes a day on social marketing can enable a small business owner to generate true ROI. This example is actually a very personal one, as it has to do with my own business. Over a year ago, I decided to jump on the Social media bandwagon. However I am a busy entrepreneur, so I could not devote a lot of time and effort to the process. I told myself that I would spend no more than 30 minutes a week researching and posting about topics of interest to my target market.

Fast forward to this past 3 months: I have connected with several hundred people, built a “fan base” of individuals who are engaged in the topics about which I post to my blog and other social networking sites. I have gained three clients out of this effort and currently negotiating with two more. Now I would call that a significant return on my investment!

It is true that people who know, like and trust you will do business with you. I think of my social media sites like the water cooler conversations of the present. How much “word-of-mouth” momentum are you getting these days?

Many successful entrepreneurs and business owners are discovering a way to increase both their quality of life and their bottom line by utilizing the services of Virtual Assistants. A Virtual Assistant is an independent entrepreneur providing administrative, creative, and/or technical services. Utilizing advanced technological modes of communication and data delivery, a professional VA assists clients in their area of expertise from their own offices on a contractual basis.

Growing a successful business takes time, commitment, and effort. When your business is doing well and your bank account is growing, other things grow as well – such as administrative tasks. By hiring a VA, you will lessen your burden without spending a small fortune for administrative support. Think of it this way:

If you charge, on average, $100 an hour for your services your time is better spent on revenue generating tasks. Does it make good economic sense for you to be the one updating your website, readying a direct mail campaign for launch, or coordinating advertising copy? Of course not! With a VA, you can have all of these tasks completed – and more – for a fraction of your cost, or the cost of a full-time employee. By outsourcing to a VA, you give yourself the ability to create new business opportunities and focus on the things you love doing.

As a busy professional, your time is money. If you are spending your valuable time on tasks that do not generate income, allow A+ Virtual Assistant, Inc. to support you. Let us take on those projects that slow you down, distract you from more important things, and don’t ever seem to get done. In addition, we can offer you value-added services that help your business grow – from marketing campaigns, to bookkeeping, to transcription, customer data base management social media networking, e-mail drip campaigns, e-newsletters and word processing support.
